What you write is actually what we agreed to in our recruitment strategy (as written in the
proposal), where we mention a centralised system (see below the respective section of the
proposal)

Where sharing full list of candidates and their CVs with all the supervisors does not seem
practical (and not GDPR complient), I would suggest to share the shortlist for each position.
Further than the name and the country of origin, I would mention the degree (or expertise) of
the shortlisted candidates (especially if we see those candidates might be interesting for the
other positions within the Elevate Network).

If needed more information about the candidate together with the CV can be forwarded to
other PIs (after receiving candidate’s permission).
Maybe (as Emre mentions in his reply) we can start by having a google document shared with all
PIs?
I will be happy to coordinate this.

I will also use this ocation to ask all of you to keep good track of your recruitment process for the
reporting purposes.
After the recruitment is completed the coordinator will compose a recruitment report including
some statistics for each position (number of aplicants, gender and geographics disctribution,
channels where the vacancies were announced, number of shortlisted candidates, composition
of selection committee, etc…)
I will send around a template for this report in due time.

PROPOSAL

Evaluation and Selection Procedure. Candidates will be asked to submit a copy of their application
through the ELEVATE website, so that all applications will be visible to all partners. Individual
applications will be processed by a local selection committee including the corresponding PhD
supervisor, the co-supervisor, the network coordinator, and the ELEVATE project manager. Each local
selection committee will establish a shortlist of at least 3 candidates for each position. Each short-listed
candidate will be invited to an online interview run by the supervisor and co-supervisor. The final
selection will be discussed with the coordinator and project manager. They will be responsible for
ensuring equal opportunities and fairness of the recruitment across the network and preparing the
recruitment report (D11.8). Beyond scientific excellence and quality of the research statement, each
local selection committee will evaluate the ability of candidates to work in a diverse and international
team, striving for a diverse and complementary pool of skills, individual profiles, professional, scientific,
and cultural backgrounds.

Equal Opportunities. All female candidates and candidates from vulnerable groups such as refugees and
people with disabilities who fulfil the formal requirements will normally be guaranteed an interview and
exceptions to this rule will have to be duly justified by the selection committee. Candidates will be asked
to indicate whether they belong to any vulnerable group, and they will be informed about the interview
scheme. Single parents will be given the opportunity to work from home and will have flexible work
hours. Candidates will be actively sought through the European Commission’s Science4Refugees
program.

Or would you prefer if we email / contact us individually? I can synchronize with everyone in

that a candidate from Norway applied to Alessio (chip design) and me (system level) ... oh
well.

if you have not done so already. I attach the adverts of Emre as a very nice

A few key reminders regarding your adverts:



1. You can post your advert wherever you like but you MUST post it

on Euraxess. This is mandatory.



2. Please make sure to include the grant agreement number in your Euraxess advert.



3. Please make sure to be very explicit about the mobility rule in your advert:

as a reminder, applicants cannot have resided or carried out his/her main activity (work, studies,

etc.) in the country of the institution  for more than 12 months in the 3 years immediately before the
recruitment date.



4. We strongly encourage you to complete your hiring over the next two months, whenever
possible.

As a reminder, visa procedures take a lot of time, and the goal is to have all our doctoral
students

in post by June 2026.



5. Once you have completed the posting of your adverts on Euraxess, please inform

us and send us the euraxess link. Aldona will return from vacation on September 1

and we would like to cross post all l the euraxess links on the ELEVATE website at that time.
